This policy describes how PrecisionApply (“we”, “the service”) handles personal information. It is written to describe what the software actually does, including the parts that may give you pause.

1. Who we are

PrecisionApply is an independent project operated by an individual based in Ontario, Canada, not a registered company. That individual is the data controller, meaning the person who decides what is collected and why. If the fact that this is a one-person operation matters for your decision to use it, it should. You are trusting a small operation, not an established vendor with a compliance department. Note that while we are in Canada, the application itself runs on servers in the United States, and our providers may process your data elsewhere again. Section 4 sets out who receives what. 2. What we collect

Information you give us directly

• Your email address, and, if you sign in with Google, the basic profile information Google returns for that account. We never receive your Google password.
• Your resume, whether uploaded as a file or pasted as text. We store the extracted text and, for uploads, a description of its typography (fonts, sizes, margins, line positions) so we can reproduce your formatting, plus the name of the file it came from so you can tell your resumes apart. We do not keep the original file itself.
• Job listings you add, including the full text of the posting, the company, title, salary and any notes you write.
• Anything you type into the tools: screening questions you paste, LinkedIn profile text, target roles.

Information created by using the service

• Generated documents: cover letters, tailored resumes, interview questions, screening answers and networking notes.
• Fit scores we calculate for your saved jobs.
• A usage record: one row each time a document is generated, with a timestamp. This is how your plan allowance is counted.

Collected automatically

• A login cookie, set by our authentication provider, so you stay signed in. It is strictly necessary for the service to function.
• Standard server logs kept by our hosting provider, which record requests, timestamps and IP addresses for reliability and abuse prevention.

3. Why we use it

• To provide the service. Generating documents requires your resume and the job text.
• To keep your data separate from other users’, which requires an account.
• To count usage against your plan’s allowance.
• To keep the service running and prevent abuse.

We do not use your resume or job data to train any model of our own, and we do not build advertising profiles.

If you are in the UK or the EU, data protection law asks us to name the legal ground we rely on for each of those purposes, so here it is. Storing your resumes and jobs and generating documents from them is done to perform the contract you entered into when you created an account, since it is the service you asked for and it cannot be delivered without them. Counting usage against your allowance, keeping the service running, keeping accounts separate and preventing abuse rely on our legitimate interests in operating a working and secure service. We do not rely on consent for any of this, which is why there is no consent banner to dismiss, and we do not process your data for any purpose beyond the four listed above.

4. Who your data goes to

We use a small number of service providers. We do not share your information with anyone else.

These providers process data on their own infrastructure under their own privacy policies, and may store it outside your country. If you are in the UK, EU or another region with data-transfer rules, please take this into account before uploading anything sensitive.

5. AI processing, in plain terms

When you generate a document, we send the AI provider your resume text and the job description. We configure our account to request that prompts are not retained or used to train models, and we do not enable prompt logging. However, we cannot give an absolute guarantee about a third party’s internal handling, and their policies can change without our involvement. If that risk is unacceptable to you, the honest advice is not to upload a resume containing information you would not want a third-party AI service to process.

6. Fetching job listings

If you paste a job URL, our server fetches that page to read the listing. The site you link to will see a request from our server, not from you, so your IP address is not passed on.

7. How long we keep things

• Account data is kept while your account exists.
• Resumes, jobs and generated documents are kept until you delete them or ask us to delete your account.
• Usage records are kept so allowances can be counted correctly across periods.
• Server logs are kept by our hosting provider under their retention schedule.

8. Your choices and rights

You can, at any time and from within the app:

• Delete individual jobs, and the documents generated for them.
• Delete saved resumes, or replace their contents.
• Turn off automatic fit scoring in Settings, so no scoring happens unless you ask.

Depending on where you live, you may have rights to access, correct, export or erase your personal data, or to object to its processing. Email us and we will act on it.

9. Security

Data is transmitted over encrypted connections and stored in a managed database with access rules restricting each account to its own rows. That said, this is a small independent project without formal security certification, and no service can promise perfect security. Please weigh that against how sensitive your resume is.

10. Children

The service is not intended for anyone under 16, and we do not knowingly collect their information.

11. Changes

If this policy changes materially we will update the date at the top and, where the change is significant, notify you by email.
